Booking Terms and Conditions

Please ensure you read these conditions carefully. A booking will constitute the acceptance of the terms and conditions below.

Our Booking Rules and conditions

Within the booking terms and conditions we stipulate our house rules and make the consequences, and cost, of breaking them clear solely for the benefit of both parties involved when accepting a booking with RIVERWOOD GLAMPING.

These Terms and Conditions clarify what would happen in the event of cancellation, property damage, a breach of Occupancy Rules and Guest Numbers and the cost if extra deep-cleaning is required.

This also confirms your responsibility with respect to payment, check-in/check-out, maximum occupancy, property dos and don’ts, reporting maintenance issues, complaining and our right to access to the property during your stay,

Safari Tent Availability

Your booking will not be cancelled by the owner except in exceptional circumstances beyond our control. Notification will be given of the cancellation as soon as possible and we will promptly refund all payments made for your holiday. Our liability for cancellation will be limited to payments made to us.

Payment

30% of the total cost is due on booking, with the balance due 6 weeks prior to the start of your holiday. If booking less than 5 weeks before your holiday the total rent is due at the time of booking. If you cancel, you will be liable for the total cost of the booking unless the accommodation can be re-let; It is recommended that you take out cancellation insurance. Bookings only become effective once you have been given a booking confirmation number.

Bookings can only be accepted with a minimum two night stay.

Bookings cannot be accepted from persons under eighteen years of age.

We (the owner) reserve the right to refuse a booking without giving any reason.

We or our representative reserve the right to enter the Safari Tent at any time to undertake essential maintenance or for inspection purposes. 

Holiday Changeover

Occupancy is from Saturday to Saturday unless stated otherwise and except for weekend or mid-week breaks. Arrival time is from 3 pm, this allows for the preparation of your accommodation between changeovers. You are to vacate the property by 10 am on the day of departure. A few days before arrival please contact us on 07714 738384 with your estimated time of arrival.

Occupancy Rules and Guest Numbers

The number of persons using the accommodation at any time must not exceed the number of persons stated on the Safari Tent description, only those people listed on the booking form can occupy the Safari Tent. We reserve the right to immediately terminate the booking without notice and without refund in the case of a breach of this condition. We do not accept Traders or tradesmen of any type or business groups, we do not accept bookings from Stag and Hen parties, If we discover that a booking has been made under a false or assumed identity we reserve the right to immediately terminate the booking without notice and without refund upon your arrival.

Parental Supervision

Children under 18 must be supervised by their parents/guardians at all times. The site is a wonderful place for children to play but parents and guardians are responsible for them at all times. Please do not leave children alone around the BBQ and fire pit area. Children must not play unsupervised anywhere on the site. Riverwood Farm accepts no responsibility for injury incurred on site. Please be aware there is a small stream on the property and a railway line adjacent to the site.

Pets

Pets are welcome by arrangement at Riverwood Farm prior to booking. A Maximum of 2 dogs is allowed at an additional cost of £30 per animal. Bookers agree to comply with the dog policy set out below:

Dog Policy

  • Dogs are not allowed into the bedrooms, or onto the furniture.
  • Bookers will be responsible for ensuring that animals are not left alone or unattended in the property and/or its grounds.
  • When in the property dogs will be restrained by the bookers from persistent barking, fouling the room, chewing/scratching the furnishings or getting on the furniture.
  • Bookers are expected to organise sleeping and feeding arrangements for the animal.
  • In the interest of keeping the farm as clean and tidy as possible, bookers are expected to clean up any mess made by the animal.
  • Bookers will bring their towels to clean the dogs with and not use towels supplied by the property.
  • Bookers will provide their own dishes for the dog to eat and drink from.
  • Bookers will settle costs for any damages that the dog causes which damages the property or stops the property being re-let.
  • If for any reason the above are not adhered to the bookers agree that the animal will be placed in kennels or the holiday terminated without compensation.

Cleaning

The Safari Tent is cleaned by ourselves in between lets. However, please make sure that you leave your accommodation in a clean and tidy condition at the end of your stay. Cleaning materials are provided for your use. The owner reserves the right to make a charge to cover additional cleaning costs if the client leaves the property in an unacceptable condition.

Breakages & Damage

Damage to property – Please treat the facilities & accommodation with due care so that other guests may continue to enjoy them. In the event that you notice damage in your accommodation please let us know immediately so that we can take the appropriate action. If there have been any breakages during your stay, we would be grateful if you could replace them or advise us before you leave. The accommodation will be inspected at the end of the holiday & you may be charged for any loss or damage found.

Standard Equipment

The following items are standard and are not therefore mentioned in property descriptions – adequate cutlery, crockery, glassware and utensils and a television. All inventory must remain in the property it was in at arrival and not be taken to another property. The owner shall not be liable for any temporary defect or malfunction of any equipment, machinery or appliance in the building and grounds.

Bed Linen

Bed linen and towels are provided and are included in the rental price. This includes a bath towel and hand towel per person per week. Extra towels are available at an extra cost.

Cots & High Chairs

Can be provided upon request.

Electricity 

Electricity is included in the price.

Noise and Nuisance

Anyone committing a nuisance at Riverwood Farm Glamping will be asked to leave immediately without a refund.

No Smoking Policy

Riverwood Farm Glamping has a strict no smoking policy within any of the buildings or close proximity. Anyone who smokes outside of the safari tent is responsible for disposing of their cigarette butts in a bin (when cold) and must not litter the surrounding area

Wildlife

We advise wearing long trousers and boots if walking and playing in the woods. If bitten seek medical advice. The nearest health centre is in Ottery St Mary 01404814447. Riverwood Farm accepts no responsibility for injury by wildlife incurred on site.

No Fire Policy

Fires are restricted to the fire pit and BBQ fires only. Fire extinguishers, fire blankets, smoke alarms and carbon monoxide detectors are located within the safari tent.

Tent Structure

It is prohibited to interfere with the structure of the safari tent. Do not remove any furniture from inside the tent. Please add heading Stolen Property Riverwood Farm cannot be held responsible for any lost or stolen property.

Hot Tub

The hot tub is cleaned and refilled for every new guest. No other compounds are to be added to the water at any-time. The hot tub will take a few hours for it to get hot once the wood burner has been lit.

No Kite Flying

No kite flying is allowed onsite due to an overhead power line.

Internet

Internet connection is available (at no extra cost) subject to technical availability.

Complaints

Any problem or complaint which the client may have concerning their holiday must be immediately reported directly to us/our representatives and we will endeavour to put matters right. Any complaints not reported to us/the property manager at the time and only reported after the client has returned from holiday will not be considered by the proprietor.

This property is privately owned, we expect all guests to enjoy the facilities and treat the property with the same respect that they would with their own house

Liability

Whilst we have taken great care to ensure that all information and particulars on our website and provided on the Safari Tent are correct, we cannot be held liable in respect of changes or alterations made in the general course of things. Guests using the safari tent, grounds and facilities do so entirely at their own risk. Younger children and vulnerable members of your party must be supervised as appropriate. We will not be liable for loss, injury or death unless this is caused by our negligence or unless limitation of liability is prohibited by law.

We reserve the right to make reasonable amendments or additions to these terms and conditions without notice.
